Studio Policies, Guidelines and Procedures 

In order to make your time as a student, and your teacher's time most productive, here are a few tips to help you get the most out of your music lessons.  

Parent / Guardian or Adult Student - Please initial each section.

Location and Logistics  _______

In order to fully maximize the instruction time, please be prepared for the lessons to start and end on time, have lesson materials ready, and keep distractions to a minimum. Please make arrangements for the lesson time to be as focused as possible. Please respect the studio space - no food or drink with the exception of water.  


Membership Tuition  _______

  1. Students who are enrolled in weekly music lessons have a membership with Brighter Minds Music. Included in the membership: 

    1. Weekly lessons - attend once a week at a regular day and time.

    2. Professional teachers with degrees in music to help give you the skills you need to succeed.

    3. Performance opportunities throughout the year

    4. Award program to earn trophies, ribbons, certificates

  2. There is a membership registration fee of $35 per student (ask us about family discounts). Families who have not taken lessons in two or more months must re-register.

  3. Payments are made via pre-authorized debit or credit cards on the first of the month. 

  4. If you start lessons mid-month, you will be pro-rated for tuition for the first month.

  5. Membership tuition is based on a four-week month. 

  6. When there is a fifth week in the month, your account will be charged for that fifth lesson. 

  7. When there is a holiday and the school is closed, you will not be charged for that lesson. To find the upcoming holiday closures, please visit https://www.brightermindsmusic.com/calendar

Attendance  _______

Regular and prompt attendance is required to make appropriate progress. As a courtesy to your teacher, if you are unable to make it to a lesson, please inform the Brighter Minds Music office team as soon as possible. 

Missed lessons _____

At Brighter Minds Music we understand the need for flexibility, and that lessons are missed because of illness, family vacations and other unforeseen circumstances. That is totally understandable. That’s why we have several options for you when you are unable to attend your regularly-scheduled lesson: 

  1. Request an online lesson.  Consider requesting an online lesson in the event of mild illness, inclement weather, last-minute conflicts, or when you’re out of town. 

  2. Request a personalized video recorded lesson.  Cannot attend in-person or online for your regularly-scheduled lesson?  You can request a personalized video recorded lesson so you can still make progress during the week.  Your teacher will make a short video assignment for you during your regular lesson time so you can still make progress.   3. Cancel and reschedule the lesson.  

    1. If you would like to reschedule the lesson, please provide written notice by either email, text (during office hours) or self-cancel 24 hours in advance. With the 24-hour notice, you can receive a Make-Up Pass.  

    2. You can use a Make-Up Pass to schedule a Make-Up lesson with any teacher, location, or instrument, based on availability.  

    3. Make-up lessons are scheduled at a different time than your regular lesson time. 

    4. You can also share Make-Up Passes with a family member or friend.

    5. Students can have up to five Make-up Passes pending at a time per membership, which are waiting to be scheduled. 

    6. Make-Up Passes are used to reschedule lessons, and do not replace monthly tuition payments. 

    7. As long as you are enrolled in lessons, Make-Up Passes do not expire.

Lessons canceled within 24 hours are considered a late cancellation, and a rescheduled lesson or Make-Up Pass is not available. Consider switching to an online lesson or request a personalized video recorded lesson instead. 

Substitutions _____

  1. For any lessons missed by the teacher, Brighter Minds Music will attempt to provide a substitute teacher. 

  2. Regular lesson cancellation policy applies to substitute teachers.

  3. If a substitute teacher is unavailable, the student will be offered a Make-Up Pass to use at a future date, or reduced tuition for the following month will be offered. 

  4. There are no refunds or tuition reductions given unless Brighter Minds Music teachers are unable to teach the promised number of lessons.

Discontinuing Lessons _______

  1. When a student registers for lessons, we anticipate that this will be a long-term relationship.  However, if it is necessary to discontinue lessons, 4 weeks written notice must be given with lessons paid through that period.  

  2. Lessons will be discontinued by Brighter Minds Music in the event of any of the following:  failure to make payments on time, irregular attendance, repeated failure to prepare assigned material, inappropriate or disrespectful behavior and failure to honor studio policies.  The student and parents will be notified of a probation period.  Continuation of the problem will result in termination of lessons.

Safety, Liability and Media Release _______

Brighter Minds Music is not responsible for providing before or after care for students.  Parents are always welcome to sit in on lessons.  If parents choose to leave the lesson site, please leave a cell phone number with the office staff, and arrive promptly to pick up your child.

I understand that my insurance will cover all costs if injuries occur at the facility while attending music lessons or events. I will not hold Brighter Minds Music, LLC liable if such unfortunate events occur.  Parents, legal guardians of minors, students and adult students waive the right to any legal action for any injury sustained on property resulting from normal lesson activity or any other activity conducted by the students or their siblings before, during, or after lesson time.  Brighter Minds Music, LLC is not responsible for any damage done to vehicles or items stolen from vehicles. 

I understand the studio will occasionally video or photograph students (without names attached) for marketing or pedagogy purposes. I will notify the studio in writing prior to the session start if my student should be omitted from such opportunities.

Instruments, Books and Materials _______

It is important that materials (e.g. instruments and equipment, books, etc.) be purchased in a prompt manner to encourage student's musical growth. Music purchases can mount up quickly, so your teacher will attempt to only choose books and materials that they think are necessary and beneficial for the student's progress.
